All payments made with company credit cards are booked to one account. The advantages of company cards are as follows: Monthly reporting: The company receives one invoice for all cards each month. Expense payments are not financed in advance by employees; administratively resource-intensive cash advances on the part of the company are no longer required. Precise separation of company and private spending. Uniform insurance coverage for all employees. Business credit card invoices can also be used for tax purposes.

It makes sense to issue business credit cards to employees who generate a certain volume of expenses and who have constantly recurring expenses, such as driving, air, and rail travel expenses, hotel costs, restaurant costs, parking and telephone charges, client gifts, etc. We recommend that the company issue conditions of use for cards, which can be an integral part of the existing expense regulations. In many well-known companies it is accepted practice to issue company cards as required, irrespective of hierarchical position.

In principal, the cardholder is not held liable providing the obligation to exercise due care in accordance with the General Conditions is observed following the loss/theft. It is important to have the card blocked immediately following discovery of the loss. A card replacement is generally available within 48 hours, or within 24 hours in the case of the Credit Suisse Gold Business American Express® Card. Often the card can even be replaced at one of the 3,200 American Express travel agencies and representative offices worldwide.

Transactions executed as a result of misuse by third parties must be objected to in writing to Swisscard AECS GmbH immediately upon discovery, and 30 days after the invoice date at the latest.

We recommend the appointment of a card administrator, who assumes responsible for all matters regarding business credit cards. We recommend integrating separate conditions of use for business credit cards into the expense regulations.

This is not possible for our credit cards. A photograph is not an internationally recognized security element (unlike the signature, passport control, checking with authorization offices, PIN code).

If you are using a device that is configured in a different language, it is possible that you may have to select the language you want again when you log in.

An extra security level has been installed to prevent any unauthorized people from being able to log into CompanyOnline. This is applied every time a CompanyOnline administrator or cardholder logs in.

Once the user ID, password and cell phone number have been entered, the person receives an SMS with a 6-digit mTAN code sent to their cell phone number. The person must enter this code when registering. If all login information is correct, the CompanyOnline homepage appears after registering successfully. If the login information is entered incorrectly three times, access is blocked to CompanyOnline.

For the CompanyOnline administrator the cell phone number can only be changed in writing using the power of attorney form as they have access to all the company details in their role. The cardholder can manage their cell phone number themselves in CompanyOnline.

The security questions serve as an extra security level when resetting the password.

Your company can apply to activate CompanyOnline using the power of attorney form. The power of attorney form must be completed for each master account.

Two different user profiles enable individual access to CompanyOnline. This is coordinated to the different functional authorizations within the company and determines the displays and rights in CompanyOnline.

CompanyOnline administrators are nominated by your company using the power of attorney form, they can view all the company’s card information (monthly statements, individual transactions, etc.) and can manage and download these.

CompanyOnline administrators are set up by Swisscard AECS GmbH.

Cardholders can register independently after CompanyOnline is activated and have access to their own card account. As a result, they can view, manage and download their individual transactions, monthly statements, etc.

Once activated, all the transactions made using the cards and monthly statements are available in CompanyOnline.

If nominated as CompanyOnline administrators, these people are at the same time authorized to place requests by phone and in writing and communicate with Swisscard AECS GmbH by email. You can find the exact scope of the power of attorney on the power of attorney form.

The company can delete or reassign CompanyOnline administrators at any time. For this a new power of attorney form must be completed and sent to Swisscard AECS GmbH.

After activation by Swisscard AECS GmbH the company receives a letter of confirmation that it has been activated for CompanyOnline. From this point in time the company can inform its staff that they can register.

CompanyOnline administrators are informed separately as they are set up by Swisscard AECS GmbH.

CompanyOnline administrators are set up by Swisscard AECS GmbH based on the submitted power of attorney form. They receive the user ID by email and the password separately by post. As soon as both the login information has been received, the CompanyOnline administrator can log in.

When they first log in, they have to change the password and answer some security questions. They then receive their 6-digit mTAN code for the extra security level in their login process.

We recommend logging in for the first time as soon as the information is received. The link to CompanyOnline is live at www.company-online.ch or on your bank’s website under "CompanyOnline".

Cardholders can register independently after CompanyOnline is activated and have access to their own card account. As a result, they can view, manage and download their individual transactions, monthly statements, etc. As the information only refers to their own card account, it is possible for them to register themselves.

A person authorized by your company can temporarily have CompanyOnline blocked or completely closed by phone or in writing at any time. There are no cancellation notice periods.

Please note that if CompanyOnline is closed, the details in the tool can no longer be updated and users no longer have access to CompanyOnline. The information can still be updated if it is temporarily blocked. Users do not have access to CompanyOnline until the block is lifted.

If you would like to reverse the closure of CompanyOnline, you have to apply for reactivation using the power of attorney form.

If a new CompanyOnline administrator is defined, a new power of attorney form has to be submitted. They are set up by Swisscard AECS GmbH and receive the login information by email (user ID) and the password separately by post.

The access rights and details of the old CompanyOnline administrator are deleted. They no longer have access to CompanyOnline.

If a CompanyOnline administrator has to be blocked straight away, this can be done with immediate effect by a person authorized by your company by calling our helpline. Afterwards, a new CompanyOnline administrator must be defined though by submitting a new power of attorney form.

A CompanyOnline administrator can also be temporarily blocked and then reactivated. This can be done by an authorized person from your company calling us.

Cardholders can be blocked or deleted by an authorized representative or themselves by calling our helpline.

You are still sent the monthly statements/extracts by post and can also find electronic copies of your monthly statements/extracts as PDF files in CompanyOnline. You can download and print off the PDF files on request. The six last statement periods are displayed in CompanyOnline.

CompanyOnline meets today’s security standards. Secure user login is guaranteed by the user ID, password and an extra security level with a 6-digit mTAN code.

You can find all the transactions for the last 27 months for the accounts that are set up for your company under "Show transaction details/transactions".

You have the option of searching for transactions sorted by accounts or divisions.

Select the account(s) you are looking for, define the breakdown period required and click "Search".

All the transactions in the specified period are then displayed for viewing.

Afterwards you can break down the selected account(s) even more.

Additional search criteria for breaking down your analysis can be found under "Advanced search[+]".

You can save the search criteria you defined under "Save search" for regular enquiry.

You can find all your transaction analysis that you have saved or started under "Show transaction details/output log".

You can find more information about the transaction, for example flight/rental car bookings and hotel reservations, if available, in the log under "Details".

Cardholders can register themselves as soon as the company has been activated by Swisscard AECS GmbH. Cardholders receive the appropriate information from the company or their representatives (e.g. internal card administrators).

Registration is very simple:

Click on "Not registered" on the login page. Ideally you should have your card to hand.

Step 1 – "Card number"
Enter your card number and click "Next" to confirm.

Step 2 – "Create user ID and password"
Enter the required user information and click "Next" to confirm.

Step 3 – "Registering an existing credit card"
Enter the required card information. You can find this on your card.
Enter your date of birth.
Once you have done so, click "Next".

Step 4 – "Account has been registered"
Confirm your information by clicking "Next".

Step 5 – "Enter 6-digit mTAN"
Your personal mTAN code (SMS code) is now sent to the cell phone number you provided. Enter this in the field and click "Next" to confirm.

Step 6 – "Other safety information"
Fill in your security questions and click "Next" to confirm.

Step 7 – "Terms of Use"
Accept the CompanyOnline Terms of Use to finish registering.

Step 8 – "You have successfully registered your account"
Confirm your registration by clicking "Complete". The homepage appears once you have registered successfully.

It is possible that you may not be able to access CompanyOnline despite registering. This may be due to security reasons or because the company has not been activated yet.
